1. Click on '+' icon in top of the main menu to access the booking wizard.


2. Select Arrival and Departure date (mandatory).

Select to book Hourly or Daily (If applicable).

Offer code (optional).

Channel (optional, at this stage in the booking process).

Target Group (optional).

Check Overbooking if you want abilty to create an overbooking.


And click 'Search' to see available rooms.


2. You will get a list of all avaible room categories for the selected dates.

You can now filter which categories you see.

These are the conditions you can filter on:

Adults and Children: Specify number of persons making the reservation and you will only see rooms which allow this number of guests, and the room will be booked with the number of guests you have specified.

Preferences: Filter on the preferences hotel have added for rooms.

Categories: See only a specific category, or you can filter to see only Rooms, Conference rooms, Inventory Services or Allotments.


In Order By dropdown you can select in which order you want search result to be displayed.

You can order by: 

Best match -suggested room based on availabilty, optimization of availabilty and category order.

Category -the rooms will appear in the category order the hotel have selected.

Rate -lowest rate will be displayed first.

Unit Number -lowest unit number first.


3. To select one room at a time:

Select number of Adults and Children (if you did not do this in previous step).

If you have Rate Options configured check the option you want to book.

Click 'Book' button, this will book the first available room of this category.


To book several rooms at a time:

Select number of Units before you click 'Book' button. You can see for example "max: 3/5" after the title 'Units', this means that there are 3 rooms available of the room category for the dates you selected and that there are 5 rooms in total in the category.


To book rooms on different dates:

After selecting a room, enter new arrival and departure date in the top of the page and search again for more rooms.


To book a specific room:

All the available rooms are listed in the Units dropdown, so if you want pick the exact room number you want to book you can select one or several rooms in this list.

4. When you have selected one or many rooms you will see which rooms were selected in the 'Units' dropdown.

If checkin is today the cleaning status of the room will be marked with a red (!) icon if the rom is dirty and a green (!) icon if the room is clean. If the room you selected have some preferences it will be displayed after the room number (in image below "desk" is a preference). If you want to switch to another room you can click the dropdown and make a different selection.

5. There is a 'cart' icon in the top right corner here you will see the number of rooms you have selected. If you click it it will open the summary of the selected rooms to the left of the page. If you click 'Clear' in this summary it will remove all rooms you selected, if you click 'Next' it will continue to create the reservation. You can also click 'Next' the top right corner of the page to go to next step.

6. Fill in:

External booking no (optional), Booking Channel, Target group and Booking language.

The checkbox 'Show rates including VAT' decides if the rates are displayed with or without VAT in the reservation. 

Then fill in the customer info. Travel Agency, Company and Person are all search fields that will search for customer profiles and in past reservations. You can either search for an existing customer or fill in the fields.


The checkbox 'Price including VAT' in the payments section decides if the rates are displayed with or without VAT for the customer (for example in invoices and mails).



7. After the headline "Reservations" all the rooms of the reservation are listed. Fill in the guest information for each room.
If the guest is the same person you can check 'Is customer' check box to autofill the information.

8. Optional: Comments can be added to the reservation by filling in the comments field and press 'Add comment'
Optional: Services can be added to the reservation by selecting the service in the dropdown and number of items that should be added and the price for each service click '+' to add it.
Optional: Extras can be added to a room or to the reservation by selecting an extra in the dropdown and number of items that should be added to the room and then click '+' to add it.
Optional: Guests can have different stay dates in the same room, this can be set at the end of the guest row (if 2 persons are staying in a room and one checks out before the other)


9. Save the reservation by pressing 'Make preliminary' or by pressing 'Confirm'. You can not make payments/invoices or send confirmations for a preliminary reservation. When a reservation is confirmed it can be changed back to preliminary as long as arrival date has not occured and it is not invoiced or paid for. If the reservation is not made either preliminary or confirmed it will eventually times out (usually after 30 min) and the room will again be availble for booking. If you press 'Abort' the room will be released immedately.


10. The status of the reservation is written at the top of the reservation, in this case confirmed. You can see the amount that should be paid at the 'Balance' row in Payments. This row is red is customer has not paid and green if the reservation is fully paid for. If you want to make changes to the reservation press 'Edit' at the top right corner.

11. When you create a reservation from intranet part of Nitesoft the confirmation is not sent out automatically. Send the confirmation by selecting the template in the dropddown and press 'Send' at the bottom of the page.

If 'edit before send' is checked you will be able to review the confirmation before it is sent.
