Price of the conference room and booking half day/full day

The standard price for a conference room (if the room can be booked hourly) is price per hour.

This price is determined by the RACK rate which is set in the Activity Room Category, it can depend on number of guests that are booked in the room.

The price can change over time depending on the BAR level selected for that day.

But more commonly it depends on how many hours the room is booked, common setup is to have one price per hour, one price for halfday and one price for fullday. This can be setup by first buildning Rateable interval presets for the time periods you want to allow guest to book. In the image of step 3 here, you can see examples of how to build fixed time morning and afternoon options, and fixed duration Half day and Full day options. If you want to have fixed price for the Rateable interval preset options you configure this by using Rate chains. When creating the rate chain you select the Rateable interval present you want to add the price for, the prices you enter will be for one of the specified intervals, for example the price for a full day.

On top of the price you can also add a Rate option, for example if you want to have a lower price for companies that prepay and higher for the ones who wants to be invoiced.


Conference packages

You can build Promotion rates to build packages for the conference rooms. The promotion can contain both hotel rooms and conference rooms and included products. If a promotion have both rooms and conference rooms make sure that products are only added for the correct types, for example you may want to add breakfast and dinner for each guest in the rooms, but add lunch and coffee for all participants in the conference rooms. These settings are made by clicking the cogwheel icon on the extras title row, select 'Apply extras for'>'Exact unit types' when you select this a bed icon will appear next to each extra row. Click the 'bed' icon to select which types on units the extra should be applied to.


For conference rooms in promotions the price of the conference room is per hour, if you want a fixed price for the conference room you can add the price as an extra included daily in conference room only.

For promotions that lasts longer than 24 hours, you can change the settings of the included extras so some are included only on the first day and some are included only on the second day this is done by clicking the cog wheel icon for each added extras row and changing the 'Override default time' setting.


When building the promotions you might find the 'rate settings' useful:

Tax handling: if you want to work with rates exluding VAT you can select it by this setting.

Rates editing: if you want the rate of the promotion rate to only depend on number of guests you can select it by this setting.

Include extras price to rate: If you want to specify the resulting price check this setting, if it is not checked the resulting price will be price per unit+included extras.


Extras packages is a prebuilt set of extras that you can add to hotelrooms, conference rooms or reservations. For example you may want a product called "Full board" that adds breakfast, coffee, lunch and dinner at the same time.
